These Terms of Service (“Terms”) govern the use of services provided by Hygeia Counseling Services and True Pet Connections. By accessing services, scheduling appointments, using the website, or engaging in services provided by the practice, clients acknowledge that they have read, understood, and agreed to the following terms and conditions.

1. Scope of Services

Hygeia Counseling Services

Hygeia Counseling Services provides outpatient mental health counseling, psychotherapy, consultation, coaching-related support services where appropriate, clinical supervision, wellness support, psychoeducation, and related behavioral health services. Services may include:

  • Individual therapy
  • Couples therapy
  • Family therapy
  • Group therapy
  • Telehealth services
  • Stress management support
  • Substance use recovery support
  • Clinical supervision services

Consulting and training services

True Pet Connections

True Pet Connections provides Emotional Support Animal (ESA) evaluations, consultations, education, and documentation services when clinically appropriate and consistent with professional standards and applicable laws.

ESA letters are only issued following appropriate clinical assessment and determination of medical necessity where applicable.

2. No Guarantee of Outcomes

Therapy, counseling, evaluations, and support services do not guarantee specific outcomes or results. Progress depends on multiple factors including client participation, consistency, motivation, honesty, and outside circumstances.

No guarantees are made regarding:

  • Emotional improvement
  • Relationship outcomes
  • Recovery outcomes
  • Housing approvals
  • ESA approvals by landlords, airlines, employers, or housing entities
  • Legal outcomes

ESA documentation does not guarantee acceptance by landlords, housing providers, airlines, or third parties.

3. Client Responsibilities

Clients agree to:

  • Provide accurate and truthful information
  • Participate respectfully in services
  • Attend scheduled appointments on time
  • Notify the practice of cancellations in advance
  • Follow treatment recommendations when appropriate
  • Maintain respectful communication with staff
  • Refrain from threatening, abusive, or inappropriate behavior

The practice reserves the right to terminate services for inappropriate conduct, safety concerns, repeated no-shows, harassment, or nonpayment.

4. Appointments & Cancellation Policy

Clients are responsible for attending scheduled appointments.

Hygeia Counseling Services

  • A minimum of 24-hour notice is requested for cancellations or rescheduling.
  • Late cancellations or missed appointments may result in a cancellation fee.
  • Repeated missed appointments may result in discharge from services.

Emergency situations may be considered on a case-by-case basis.

5. Fees & Payment

Payment is due at the time of service unless otherwise arranged.

Accepted payment methods may include:

  • Credit/debit cards
  • Cash
  • Electronic payment platforms
  • Insurance (if accepted)

Clients are responsible for:

  • Copays
  • Deductibles
  • Non-covered services
  • Outstanding balances

Failure to pay outstanding balances may result in suspension or termination of services.

6. Telehealth Services

Telehealth services may be provided through secure electronic platforms.

Clients acknowledge:

  • Technology interruptions may occur
  • Confidentiality risks may exist with electronic communication
  • Clients are responsible for ensuring privacy during telehealth sessions
  • Emergency services are not provided through telehealth

Clients participating in telehealth services confirm they are physically located in a state where the provider is authorized to practice

7. Confidentiality

Client information is protected in accordance with HIPAA and applicable privacy laws. Information may be disclosed without consent when required by law, including but not limited to:

  • Danger to self or others
  • Suspected abuse or neglect
  • Court orders or legal requirements
  • Medical emergencies

Electronic communication such as email or text messaging may not be fully secure.

8. Crisis & Emergency Services

Hygeia Counseling Services and True Pet Connections do not provide 24-hour emergency or crisis services.

If you are experiencing a medical or mental health emergency:

  • Call 911
  • Go to the nearest emergency room
  • Contact 988 Suicide & Crisis Lifeline

Clients should not rely on email or text messaging for urgent mental health concerns.

9. Emotional Support Animal (ESA) Services

ESA evaluations are conducted based on clinical judgment and applicable legal and ethical standards.
Clients understand:

  • Payment does not guarantee approval or issuance of an ESA letter
  • Evaluations may require additional documentation or assessment
  • Fraudulent misuse of ESA documentation is prohibited
  • ESA letters are issued only when clinically appropriate

True Pet Connections reserves the right to deny ESA documentation if criteria are not met.

10. Website & Educational Content Disclaimer

Information provided on the website, social media, handouts, blogs, or educational materials is for informational and educational purposes only and is not a substitute for medical, psychological, or legal advice. Use of the website does not establish a therapist-client relationship.

11. Social Media & Communication Policy

To protect confidentiality and professional boundaries:

  • Staff do not accept personal social media requests from clients
  • Communication through social media is discouraged
  • Clinical issues should not be discussed through public platforms

12. Minors

Services for minors generally require consent from a parent or legal guardian unless otherwise permitted by law.
Parents/guardians may have rights to access treatment information subject to legal and ethical limitations.

13. Consultation & Supervision

Clinical consultation and supervision services are educational and professional support services and do not establish responsibility for supervisees’ independent clinical decisions or business practices.

14. Limitation of Liability

Hygeia Counseling Services and True Pet Connections are not liable for:

  • Indirect or consequential damages
  • Technology failures
  • Third-party denials of ESA documentation
  • Decisions made by housing providers or outside agencies
  • Client misuse of services or documentation

Services are provided in accordance with professional standards and applicable laws.

15. Changes to Terms

The practice reserves the right to update or modify these Terms of Service at any time. Updated versions may be posted on the website or provided to clients.
